How It Works

Rubicon is an AI consultancy that collaborates with your firm to better incorporate automation into your daily workflows. Our primary offering is an always-on system deployed within your environment, typically on dedicated hardware you control, handling operations, research, analysis, reporting, and communications. Everything runs locally, uses your existing tools and credentials, and operates within boundaries you define.

We start by understanding how your firm actually operates. During onboarding, we map your workflows, data sources, communication patterns, and decision frameworks. From there, the system continuously adapts to your preferences, learning your firm's nuances over time. The longer you use it, the more precisely it mirrors how your team thinks and operates.

Security and Control

On your hardware, in your office, on your network. Nothing is stored in third-party cloud environments unless you explicitly configure the system to use services you already control. The system operates locally; your proprietary data never leaves your environment.

No. This is a hard architectural constraint. The system drafts communications; humans review and approve before anything is sent. The system has no capability to autonomously dispatch emails, messages, or any client-facing content. All outbound communication requires explicit human action. This is by design, not policy.

Customization and Setup

Yes. The system is modular. You choose which capabilities to activate: research and synthesis, workflow automation, communication drafting, reporting support, data integration, or others. Capabilities can be enabled, disabled, or modified at any time.

Most engagements complete initial setup within 24 to 48 hours. This includes environment setup, network configuration, credential integration, system customization, and onboarding. More complex environments with extensive data source integrations may take longer.

Operations and Support

Ongoing support, system updates, configuration adjustments, and access to new capabilities as they are released. If you need help optimizing system behavior, adding integrations, or troubleshooting issues, that is covered. It does not cover hardware replacement, third-party API costs, or major architectural redesigns.

You contact us. The monthly retainer includes support. We diagnose remotely when possible, on-site when necessary. Most issues are configuration-related and resolve quickly. If hardware fails, you replace it; we restore configuration from backups.

The system is designed to work across multiple technology providers simultaneously. If one provider changes pricing, updates their service, or becomes unavailable, we reconfigure your system to use alternatives. You are never locked to a single vendor.

Getting Started

Through APIs, database connections, file systems, or whatever interfaces your current infrastructure exposes. Common integrations include your existing platforms, data sources, CRMs, and operational tools. If it has an API or accessible data layer, we can integrate it.

There is a one-time engagement fee that covers hardware, installation, configuration, and onboarding. After setup, you have a trial period to evaluate the system with full support. If you choose to continue, an optional monthly retainer covers ongoing support, updates, and optimization. Specific pricing depends on scope and is discussed during your initial conversation.

Within the first 30 days, you are entitled to a full refund of your installation fee. After 30 days, no refund is available. Monthly retainer fees are non-refundable but can be canceled at any time.
